Minutes of Annual General Meeting 2018

Roll Call
The meeting was attended by representatives of 17 teams. Apologies for absence were received from Lords & Ladies, Lord Nelson B, Monkey Spankers, Globe Somerton, Bell Ash A and Lord Nelson A.
Review of Season 2017-18
Chairman Kevin Fowler stated that the league had a successful season with few issues with fixtures and a very well attended Presentation Night. There had been a complaint by the landlady of the Drayton Crown regarding behaviour of some members of the Mucky Ducks at the final league match. This had now been settled after an apology in person from Derek Webb to the landlady. Kevin noted that the Drayton Crown will no longer be hosting skittles on a Friday night as they prefer to concentrate on the food service.
Formation of League for 2018-19
The Fixtures Secretary Dave Jones was not present as he was away on business. Pete Wescott reported that all 28 existing teams had either formally or informally indicated that they will continue. The league had also had a request to join from a team from Ilton Cricket Club. The team have previously played in the Crewkerne league and play most of their home matches at the Cricket Club. The meeting agreed to provisionally allow the the team to join subject to assurances. They will be “paired” with the Floppers so that, in the event the Cricket Club is unavailable they will be able to play at the Ilton Wyndham Arms. It was also agreed by the meeting that the league should stay as three divisions whether there will be be 28 or 29 teams. The promotions and relegations to be finalised when the actual number of teams has been determined.
- The Crown Fivehead team will be moving to the Lamb and Lion at Hambridge and will be renamed Lamb Shanks.
- The Globe Somerton will be moving to Somerton Sports Club and will be renamed S Club 8.
- The Levellers will be moving to the Crown at Fivehead.
- The Stoke Clubbers will be reverting to their previous name Seahawks.
POST MEETING NOTE: At the Committee Meeting held on Tuesday 12th June the team from Ilton Cricket Club (to be called Pornstars) were formally accepted into the league. The three divisions will be made up as follows (promotions and relegations indicated):

New Treasurer’s Report
Pete Wescott presented the accounts for the season (appended to these minutes) showing a balance of £542.13. This is a big turnaround after last season’s big decline in the league’s balance sheet and represented a profit on the season of £104. Taking into account the fact that we lost two teams (and £200 revenue) this season and Pete Wescott was repaid £150 from the account which loaned last season, this was an excellent result. The savings were largely due to a considerable reduction in spend on trophies.
There was some discussion about trophies and whether winning teams should be able to request charitable donations rather than individual trophies. It was agreed that the Treasurer would, before ordering trophies next season, check with all teams as to whether, in the event of winning a trophy, they would prefer to have trophies or a cash donation to a nominated charity instead.
League Fees
It was agreed that the league fees would remain at £100 for next season. The cost saving measures introduced this season mean that there is no need for an increase.
Commencement of Season
It was agreed that the Committee should look at the fixtures with a view to minimizing gaps between league games over the Christmas and Easter periods. A provisional start date for the season of Friday 7th September was indicated. All Cup Finals, other than those played at Presentation Night, will be scheduled for Saturday evenings.
POST MEETING NOTE: At the Committee meeting held after the AGM, it was agreed that the season would start on 14th September with Nomination Cup 1st round. The first half f the season will finish on 14th December with the Coronation Cup elimination round. The first round of the Memorial Cup will be scheduled for 28th December but with leeway for teams to agree to play their matches at any time up to a fortnight before the second round. There will also be a blank week after the final league game and before the first round of the Knockout Cup to allow any uncompleted league games to be played.
Rule Changes
No changes to the Rules were proposed.
Presentation Night
It was generally agreed that the Presentation Night had been highly successful with both the Coronation Cup and Knockout Cup finals being closely contested and with a large audience for the Coronation Cup. Turnout was high and all trophies were collected on the night. It was agreed that the current format for Presentation Night should be retained and the Committee was thanked for the night and its organisation.
Election of Officials for 2016-17
Pete Wescott stated that the combining of the General Secretary and Treasurer roles was still working well and he was happy to continue to do both for next season.
Andy Gould kindly offered to join the Committee.

Any Other Business
There was some discussion of the format of fixture books. It was generally agreed that the laminated A5 single page fixture sheets were ideal for team members other than Captains. Each team will be given a small number of the smaller and larger format fixture books. Fixture books and sheets will now include link information for the Martock League website as this was also well received and used throughout last season.
There was some discussion on whether teams are happy to continue with 8 players. It was agreed that it is not necessary to make any changes and it was pointed out that missing players get 30 pins for league matches and, by agreement between captains in a particular game, both sides can field reduced teams.There being no further business the meeting closed at 8-25 pm.
